From enquiry to accepted quote

Collect an enquiry as a lead, qualify it into a customer and a deal, prepare the quote and record the acceptance without typing anything twice.

Created Updated

A jazz club writes through the enquiry form on Northwind Studio's website: it needs a poster series for its autumn nights. Pepper can carry that message from the leads inbox to an accepted quote and an open project, with each step recorded.

Start by pointing the form at Leads. Each submission then creates a lead with the submission linked. A lead is not a customer yet; the customer and the deal appear when you qualify.

Read the enquiry

The lead arrives in Sales > Leads under New, with the source tag website and the form's name as Came through. Open it, read the message and click Mark contacted after you answer. Add a next step, for example Call about print run with a date next week. Home lists the lead under Follow up when that date arrives.

Qualify into a customer and a deal

Click Qualify. The sheet checks your customers for the same email or a similar name. The club is new, so keep Create … as a new customer, choose Business and keep the contact as the primary contact. Under Deal, enter the title Autumn poster series, keep the first stage and enter an estimate of EUR 1,800. Click Qualify and open the deal.

Pepper creates the customer, the contact and the deal in one step and closes the lead as Qualified. The lead keeps its links to both records. Nothing is typed twice.

Record after qualification What it holds
Customer Name, contact, email and phone from the lead; the tag website
Deal Title, the first stage, your estimate of EUR 1,800 and the next step
Lead Qualified, with links to the customer and the deal

Prepare and send the quote

Open the deal and click Prepare quote. Pepper creates a quote draft for the customer in EUR, with one line for the deal title at your estimate, and opens it. Change the lines to three posters at EUR 600, review the readiness checklist, then Review and issue and send the quote as described in Quotes.

The deal now shows the quote as its value: EUR 1,800 before tax, with the fact "quote sent today". Your estimate stays on the deal but is no longer the value. Move the deal to Proposal. The lane header counts it at your 50 % estimate for that stage.

Record the acceptance

The club accepts the quote on its public page. Pepper marks the deal Won in the same step, once. If the club calls instead, record the acceptance on the quote; the deal is marked won the same way. A declined or expired quote never loses the deal by itself. It appears under Follow up and you decide.

Event Deal Quote
Quote sent Value EUR 1,800 from the quote; stage Proposal Sent, valid until its date
Customer accepts Won, with the acceptance name and date Accepted
Customer declines Stays open; Quote declined under Follow up Declined

Open the project

The won deal offers Open project. Confirm that the customer agreed to the quote. Pepper creates a project for the club in EUR with the quote's lines as its first scope version and the reference "Quote …, accepted by … on …". Nothing is invoiced yet. Continue with the milestone workflow.

Correct the right record

  • A deal moved to the wrong stage: move it again. Moves change no document.
  • A deal marked lost by mistake: click Reopen. The outcome and its reason are removed.
  • A quote with a wrong amount: edit the draft before issuing, or issue a new quote. The latest quote that is not declined becomes the deal's value.
  • A duplicate lead: qualifying with Link attaches the deal to the existing customer. A second enquiry with the same email reopens the earlier unqualified lead instead of creating a new one.

Deal values are not revenue, profit or cash. The quote and the invoice keep their own rules. Read Leads and Deals and the pipeline for every control.
