Keep a purchase and its receipt ready for your accountant

Enter supplier amounts, attach the evidence, review period checks and export a package your accountant can inspect.

A supplier sends a EUR 121 hosting invoice showing EUR 100 net and EUR 21 tax. Record those figures with the supplier, date and reference, then attach the PDF. At period end, your accountant can inspect both the figures and their source.

Pepper uses manual purchase entry. It does not read a receipt, choose its category or decide whether the cost is deductible. Use the supplier document and the tax treatment agreed with your accountant.

Enter the document as it stands

Choose the supplier and currency, then add the purchase lines. For the hosting example, enter EUR 121 with tax included at the stated 21% rate. Pepper calculates EUR 100 net and EUR 21 tax. The example illustrates the arithmetic; it does not prescribe a tax rate for your business.

A document with more than one tax rate needs separate lines for those amounts. You can use tax-excluded entry when that matches the supplier's figures. If the supplier's rounding differs, type the tax as printed; the period checks will identify that entry for review.

Each purchase supports 1 to 100 lines. Its currency stays fixed after creation. Use the paid fields only when the payment has happened. Pepper has no supplier payment run or payable due-date workflow.

Attach the evidence

The released purchase workflow accepts PDF, JPEG, PNG and WebP files, up to 10 MB each and 10 current files per purchase. Attach the supplier invoice or receipt, not an unrelated bank screenshot in its place.

Replacing a wrong file retains the older file in the purchase history. A missing or changed stored file needs recovery from backup. Re-entering its amount cannot recreate the original evidence.

If the hosting cost belongs to an open client engagement, link the purchase to it. Staff with access can see the cost there. The link does not rebill the expense to the client.

Review the period before hand-off

Choose a calendar month, quarter or year in Tax periods. Open the checks for purchases without files, hand-entered tax and unpaid purchases. Review drafts and voided purchases too. The figures use document dates; Pepper has no custom fiscal-year or custom-date-range period export.

Download the accountant ZIP after those checks. It contains summary figures, sales and purchase CSV files, stored issued document PDFs, current purchase files and a manifest. The manifest lists any evidence Pepper could not include.

Have your accountant open a sample package before relying on this as the routine hand-off. Agree how they will use the categories and currency groups. The export does not post a journal, prepare a country-specific return or submit tax.

A late purchase can change a period you already sent. Review the change and download a fresh package so the accountant has the revised figures.
