Quote the work and collect the invoice.

The Money desk keeps the documents that bring money in: the quote a customer accepts, the invoice it becomes and the payment recorded against it. Home shows what came in, what is owed, what is out as a quote and which hours are still unbilled.

Every document you issue keeps its original. Later settings change new documents only, and a reversal stays in the history.

Quotes

Turn an accepted quote into the invoice.

Send a quote with a signed acceptance link. When the customer accepts, convert it to an invoice. The quote keeps a link to the invoice it became, and the invoice keeps a link back.

Create and convert a quote

Invoices

Issue the invoice and keep the original.

Create, edit and review on one sheet with a readiness checklist. Review and issue names the expected number, the customer and the total before Issue assigns the number. Pepper stores the first PDF as the issued original with a SHA-256 fingerprint, then emails it through an outbox that reports each delivery state.

Payments

Record money as it arrives.

Record full or partial payments up to the balance due. The status moves from Issued to Partially paid to Paid on its own. Reverse a payment recorded by mistake; it stays visible in the history.

Record a payment

Online payments

Collect through your own Stripe account.

Share a payment link on an issued invoice, take partial payments and refund through a credit note. Pepper records money only after Stripe confirms it. Fees keep their own currency.

Recurring and reminders

Let repeat work bill itself.

Schedule invoices daily, weekly or monthly, with optional sending through the outbox. Catch-up rules prevent a burst of back-dated invoices. Reminders ask for the balance due in four stages, with per-customer overrides.

Credit notes and pro-formas

Correct without losing the history.

A credit note lowers the balance due of its invoice and takes refunds. A pro-forma converts to a linked draft invoice once. Each document type keeps its own numbering sequence and shares the same sheet, tax calculation and PDF.

Money overview

Compare revenue, costs and cash.

Read this month, quarter or year beside the previous period: invoiced revenue, selected purchase costs, their result and recorded cash. Each currency stays separate, each figure opens its source records, and the figures download as CSV.

Languages and currencies

Invoice in the customer’s currency and language.

Documents keep their own currency among 23 supported ones, and balances never convert. Each PDF prints in one of 14 language variants with your template, brand colour and logo. Issued EUR invoices with an IBAN carry an EPC QR code for bank apps.

What this desk does not do.

Every desk works on the same customers, documents and files. Switch desks in the top bar and the records stay where they are.

  • Record money that arrives outside Stripe by hand. Pepper has no bank feed and does not convert currencies.
  • UBL export writes a local e-invoice file. Pepper does not send it over Peppol or to a tax authority.
  • Issuing sends no email and records no payment. Each is a separate step you take.

Who gets this desk

Owners and admins have every desk. They give each role or person the desks they need and can rename this desk or arrange its pages. Below Admin, a desk also limits what a person can open, even through a saved link or an AI client.
